Definition

What a useful chatbot is, and what it isn't

A chatbot, done well, is a narrow assistant. It answers the handful of questions your business gets every day, in Arabic and English, at any hour: opening hours, parking, price ranges, how to book. It answers only from what you have published, so it cannot invent a price or a promise, and it hands over to a person, with the transcript, the moment a question falls outside that list.

It is not a general assistant, a sales agent or a menu of buttons. And it differs from a RAG assistant, which searches a large body of documents, often internal, and cites the passage behind each answer.

Why it matters

Why scope decides whether it helps or embarrasses you

In Qatar most enquiries arrive on WhatsApp, many of them when nobody is at the desk, and the same questions repeat in Arabic and English. A bot takes those repeats so your staff keep the ones that need judgement. The whole gain rests on one decision made before building: what the bot is allowed to say.

  • Questions arrive after hours

Late at night, on a Friday or mid-shift. An unanswered message is a customer who may try the next business.

  • Unscoped, it embarrasses you

It will quote last month's price, or give advice only a professional should give, publicly and in your name.

  • Scoped, it removes real work

It answers only from your published pages, with a clear route to a person for everything else.

  • Scope protects the customer

Health, money and complaints go to someone who can take responsibility for the answer.

The three lists

What it answers, what it refuses, when it hands over

Write these lists before anything is built; they also show which questions your website fails to answer.

  • Answer

Published facts that rarely change: opening hours, location and parking, the services you offer, price ranges, how to book, what to bring.

  • Refuse, and offer a person

Medical, legal or financial advice. Discounts. Promises your system cannot check. Anything about one customer's account before they sign in.

  • Hand over at once

A complaint, an emergency, a payment problem, or a customer who asks for a person or repeats the same question.

  • Out of hours

Say when a person will reply, such as tomorrow at 9:00. That beats silence, and beats a bot that keeps guessing.

How it runs

From your real questions to a bot on one channel

What we need from you: chat exports, your current price list, one owner for the answers, and booking-system access.

  1. Collect the questions

You export a month of WhatsApp chats, emails and call notes. We list the questions that repeat, in customers' own words.

  2. Write the scope

The three lists, agreed in writing, plus what the bot says when it doesn't know. It never goes beyond this document.

  3. Fix the source

Pages that are out of date or silent on a common question are corrected first, which helps every visitor.

  4. Connect the channel

Your website, WhatsApp through Meta's business platform, or both. Handovers go to a named person or a shared inbox.

  5. Test with awkward questions

We try to make it invent a price or answer outside scope, in Arabic, English and dialect. Then your team tries.

  6. Launch on one channel

Read the transcripts. Real questions differ from expected ones, and the scope grows only where that is safe.

An example

An example: a dental clinic in Al Wakrah

An example, the same clinic as the demo above, not a client.

  1. The evening messages

Open on Friday? Insurance? Cleaning price? Book for tomorrow? Parking? Most arrive after reception closes, and some patients book elsewhere overnight.

  2. The scope

Those five questions, each tied to a page: hours, insurers, price list, booking system, location. Each answer shows its page.

  3. What it refuses

Medicines, treatments and symptoms. Health data carries extra duties under Qatar's personal data law, so it offers a booking or a person.

  4. What it hands over

An emergency, such as a crown that has fallen out, goes to the on-call line with the conversation attached.

  5. The next morning

Reception reads the handovers and new bookings, not every message. Each month, someone adds the facts the bot lacked to the website.

Common questions

How much does a chatbot cost?

It is quoted after a short call. What sets the scope: how many channels the bot lives on, how many topics it covers, whether it books through your system, and how much of your content needs fixing first. Running costs sit on your own accounts: the AI provider bills per message, Meta bills for WhatsApp messages your business starts, and hosting is on your plan. We estimate them from your volume before you commit.

What if it doesn't know the answer?

It says so plainly and hands over. That is the designed behaviour, not a failure state. The customer is told who will reply and roughly when, and the person who picks it up sees the whole conversation. Every unanswered question is logged: if one keeps appearing, its answer belongs on your website, or it is a question the bot should always pass on.

Can it make things up?

Any AI model can give a confident wrong answer, which is why the bot reads only your published content and its scope excludes advice. That lowers the risk without removing it: it can still misread a page, or mix two prices if your pages contradict each other. So we test it with questions designed to make it invent, and someone on your side reads a weekly sample of conversations until you trust it.

Does it work on WhatsApp?

Yes, through Meta's WhatsApp business platform rather than the ordinary app. That needs a Meta business account in your company's name and a registered phone number. Within 24 hours of a customer's last message the bot can reply freely; after that, a message your business starts must use a template Meta has approved, and Meta charges your account for it.

Can it take bookings?

Yes, where there is a booking system it can connect to. It reads the free slots, offers them and confirms the one the customer picks, so the calendar stays the single record. If bookings live in a diary or a spreadsheet, the bot collects the request, the preferred time and the number, and a person confirms it.

What happens to customers' personal data?

The bot asks only for what a task needs, usually a name and a +974 number for a booking, and says why. Under Qatar's Law No. 13 of 2016, consent is the main basis for using personal data. Transcripts are stored on your accounts, not ours, and health, financial and identity details stay out of the chat. For anything beyond a simple booking, ask a lawyer.

Who owns it, and what happens after launch?

The accounts are in your name: the AI provider, the WhatsApp platform and the hosting. The scope, the content the bot reads and the transcripts are yours. When a price changes, you update the page and the bot follows. After launch the work is reading transcripts and adjusting the scope; we do it with you at first, then show your team how.
