Definition
What marketing automation covers for a small team
Marketing automation is the set of rules that run without anyone remembering them. For a small team it has three layers, and most need the first two before the third: the first reply (an instant acknowledgement and an alert to whoever should answer), the follow-up (tasks and chases that close themselves when someone acts) and the nurture (short opt-in sequences for people not ready yet, or due to reorder).
It is not a chatbot, which holds the conversation itself; automation makes sure a person holds it, on time. Nor is it bulk messaging: every rule starts from something the customer did.
Why it matters
Why response speed decides most small deals
For most small deals, whoever replies first wins, because by the afternoon the customer has asked someone else. The gap is widest after hours: the 21:40 enquiry in the demo above waits until Thursday morning without rules, and gets a reply in 8 seconds with them. We run our own studio on rules like these.
The moment it arrives
An email and a push alert reach a founder's phone, and a task appears on the board if nobody answers.
Five days without an answer
An unanswered proposal becomes a chase, without anyone having to remember it.
A fortnight untouched
A deal nobody has touched for two weeks raises a flag.
Six every morning
A digest lists the day's follow-ups, renewals and overdue invoices.
A starting schedule
Follow-up timings a small team can keep
Count working days, Sunday to Thursday, so a quote sent on Thursday afternoon isn't chased on Friday.
Within a minute: acknowledge
Automatic, in the customer's language, with a name and a time. After hours, the time is the next working morning.
Within two working hours: a person
If nobody has replied by then, the task moves to a second person.
Two or three working days after a quote
The first chase: one short question that is easy to answer, not a repeat of the price.
A week later: the second chase
If that goes unanswered too, close the deal as lost with the reason no reply.
Two weeks untouched: a flag
Any open deal nobody has touched goes back to its owner. Our own studio chases proposals after five days.
WhatsApp rules
WhatsApp templates: what passes, what gets rejected
Outside 24 hours from a customer's last message, only a template Meta approved in advance can be sent, and a sales follow-up usually counts as marketing.
Usually approved
- Fixed text that makes sense on its ownBlanks only for details such as a name or a date.
- Your business name in the first lineThe customer may not have saved your number.
- One question with a short answerHello {{1}}, this is Mariam from example.qa. Did our facade quote answer your questions? Reply 1 to book a site visit, or 2 for later.
- Separate Arabic and English versionsSo the customer hears back in the language they wrote in.
Usually rejected
- Mostly blanksA template that is mostly placeholders, or starts or ends with one.
- Marketing filed as utilityMeta checks the category, and a message that promotes something needs the customer's agreement to receive it.
- Messages to a bought listNo consent, a falling quality rating, and a number that can be limited or blocked.
Measuring it
How you'll know it's working
The first two numbers measure your team and move within weeks; the third measures customers and moves slowly.
Time to the first human reply
As a median, split by the hour enquiries arrive. Evening and Friday enquiries show the change first.
Share of quotes chased
Close to all of them within a month. If not, a timer or an exit rule is wrong.
Win rate, chased against unchased
From your loss reasons, after a quarter. If reply times improve and this doesn't, the timing is right and the words need work.
Quality rating and opt-outs
Meta's WhatsApp Manager rates each number. A falling rating means wrong recipients or too many messages; fix it before reach is limited.

Common questions
Will this feel robotic to customers?
Only if it's written that way. Keep automated messages short, in the customer's language, and honest about being automatic. The demo's acknowledgement confirms the message arrived, names who will reply and gives a time, in one line. Avoid long option menus, promises of an instant answer that never comes, and follow-ups that ignore what the customer already said.
How many sequences do we need?
One or two to start: the first reply and the follow-up of a quote. Two that work every time beat ten that work sometimes. Add a third only for a clear moment, such as a reorder date or a renewal, with someone to read the replies. More rules than you can remember is a liability, because nobody notices when one breaks.
Can we send WhatsApp broadcasts?
Yes, where your WhatsApp Business API account is in place, and only to customers who agreed to hear from you. Meta approves each template in advance, and 24 hours after a customer's last message only approved templates can be sent. Meta also rates each number by how recipients react. Broadcasting from a personal number to a bought list is how numbers get blocked.
Which tools do you use?
The ones you already have, where they can do the job: your CRM's own automation, your email tool, and the WhatsApp Business API where it is in place. Most small-team CRMs can already send an alert, create a task and wait before a reminder. We add a tool only when yours can't, and it is opened in your company's name.
Is this the same as spam?
No. Every message goes to someone who contacted you or agreed to hear from you, stops when they reply, and offers a way out. Under Qatar's Law No. 13 of 2016, consent is the main basis for marketing messages, so record when and where each customer agreed. Before messaging a list you bought or inherited, ask a lawyer.
What does marketing automation cost?
First-reply alerts and follow-up rules come with the sales pipeline, part of the published "Site + system" package from QAR 15,000 with a new website. Nurture sequences and WhatsApp campaigns are a fixed price quoted after a short call. Scope is set by how many moments need a rule, how many messages need writing in two languages, and the state of your consent records.
What do you need from us?
An hour with whoever answers enquiries, to agree the moments and the reply times you can honestly promise. Your approval of every message in both languages, because each one goes out in your name. Access to your CRM, your email tool and any WhatsApp Business API account. After launch, someone on your side reads the monthly check.
