What lead tracking and attribution record
Lead tracking records where every enquiry came from; attribution decides which source gets the credit. Each enquiry should carry four facts: the source (Google, Maps, an ad, Instagram, a referral, ChatGPT), the page, the campaign from a tagged link, and the channel (form, WhatsApp, call or email).
It is not website analytics, which counts visits across everyone. It writes the source onto each enquiry, so it can be followed to a won or lost deal in your CRM. In Qatar the hard part is WhatsApp: a chat carries no source, so the click is recorded on the site and the chat inherits it.
Why it matters
Why the answer changes what you spend
Without it, a budget is split by instinct and by whoever argues best. With it, you can see that a quiet channel brings your best customers while a busy one brings enquiries that never close. When volumes are small, one wrong guess costs a whole quarter. Here is what Bushra Pharmacy and Auckland now count.
Every channel counted
Bushra Pharmacy, July and August 2026: 163 WhatsApp consultations, 89 calls, 223 delivery-app orders and 41 prescription uploads, each counted by channel.
AI assistants made visible
9% of Auckland's visitors now arrive from ChatGPT, a figure that exists only because AI assistants are counted separately.
Default setups hide them
Our own reports filed Gemini under Google search and ChatGPT under referral, until AI assistants got a channel of their own.
Consent first, enquiry kept
Analytics waits for the visitor's consent. A visitor who declines still reaches your pipeline, just without the trail.
How it runs
Four steps, and what we need from you
Meta lead ads are read in with their campaign attached, and that connection never changes a campaign, a budget or an audience.
Agree what counts
Which actions are enquiries, what a won customer is worth, and where records live. From you: half an hour and your average order value.
Tag and track
Tagged links, an event on every contact button and the source written onto each enquiry, all after consent. From you: read-only access where possible.
Connect the pipeline
Each enquiry becomes a CRM record that keeps its source. Hand-entered enquiries pick theirs from a short list.
Report monthly
Enquiries, customers and won value by source, and what changed since the month before.
Do it yourself
A link-tagging scheme you can set up this week
A tagged link adds utm_source, utm_medium and utm_campaign after a question mark, and only works if everyone writes them the same way.
- Lowercase, hyphens, no spacesInstagram and instagram are counted as two different sources.
- A fixed list for source and mediumFor example instagram and paid-social for ads, instagram and social for the bio link, google and organic for your Business Profile.
- Campaigns named by what and whenSuch as villas-october, the name the demo above uses.
- One shared sheet of every tagged linkWho made it, where it is used, and the page it points to.
- Tag the links outside your site firstYour Business Profile website button (gbp-listing in the demo), your Instagram bio, every ad, and links in emails and WhatsApp broadcasts.
- Never tag links between your own pagesA tagged internal link overwrites the real source, so a visitor from Google search seems to come from your homepage.
Common mistakes
Five ways tracking misleads you, and how to check
Each one takes a few minutes to check yourself.
WhatsApp and call clicks not counted
Form enquiries pass for all of them. Check: tap your own WhatsApp button and look for the event in the real-time view.
AI assistants hidden
Gemini filed as Google, ChatGPT as referral, and some send no referrer. Check: look for chatgpt.com and perplexity.ai among your referrers.
Internal links tagged
Every source collapses into your own site. Check: click through your pages and watch for utm_ appearing in the address bar.
Clicks counted as conversations
Some people tap WhatsApp and never send. Check: for one week, compare WhatsApp clicks with the new chats that actually arrived.
Declined consent loses the enquiry
If the form runs through the analytics tag, visitors who decline can't reach you. Check: decline the banner, send a test enquiry, confirm it arrives.
Reading the numbers
What to watch in the report, and how soon it moves
In the demo above, Instagram ads bring 21 enquiries and 1 customer while Google Maps brings 9 and 4, so divide spend by customers, not enquiries.
- Enquiries by source: from week oneMainly tells you that the tracking works.
- Customers by source: after one sales cycleIf deals take a month to close, the first useful month is the second.
- No-consent share: should stay steadyA sudden jump usually means the consent banner or a form has changed.
- AI assistants: read over a quarterThey start small, so watch the trend rather than one month's count.
- Act on three months, not oneBefore then, change a channel's offer or landing page rather than switching it off.

Common questions
Does tracking require consent?
Analytics does, and we gate it: nothing analytical runs until the visitor agrees, in line with Qatar's Law No. 13 of 2016, where consent is the main basis. The enquiry itself is captured either way, without the trail, so expect a steady share marked no consent. For anything beyond a form and analytics, such as sharing data with a partner, ask a lawyer.
What if someone finds us offline?
Then the record says so honestly: a referral, a walk-in or a call, picked from a short list by whoever takes the enquiry. Asking how they heard about you on the first call fills most gaps. Keep the list to six or seven options, or people pick the first. If referrals bring half your customers, know that before you cut a budget.
Can you track WhatsApp enquiries?
Yes. The link carries no source, so the click is recorded on the site with that visit's page and source, and the chat keeps it when logged in your CRM. A prefilled first message per page, such as "Hello, I'm asking about villa facades", tells whoever answers where the customer came from. With the WhatsApp Business API, chats can arrive by themselves.
Is Google Analytics enough?
It is a good second opinion on visits and actions. It doesn't know which enquiry became a customer, which is what a budget should follow. It sees only visitors who accepted analytics, and by default it can hide AI assistants under referrals or search. So the source lives on the enquiry itself, and Google Analytics watches the trend.
Do we need a CRM for this?
It is where tracking pays off. A shared sheet with a source column is a fair start for a small team. Without a pipeline, though, you can't see which enquiries became customers, so a channel with many enquiries and few sales looks like your best one. That is why we usually set the two up together.
What does lead tracking cost?
With a new website, it is part of the published "Site + system" package from QAR 15,000 that also includes the sales pipeline. For a site you already have, it is a fixed price quoted after a short call and a first look. Scope is set by the number of channels, campaigns and ad accounts, and by whether calls, WhatsApp clicks and a CRM are already in place.
How long does it take to set up?
About two weeks for a typical site, then the first monthly report a month later, once there are enquiries to count. Tracking is accurate from the day it goes live but can't reach backwards. With small volumes, wait for about three months of data before cutting a channel or doubling its budget, because one good or bad week can swing a month.
